Primary Duties and Responsibilities

• Responsible for communication with vendors who provide supplies and equipment to campus
• Enforces WKU policies, procedures and work standards to ensure adequate performance and personnel safety, and reports all disciplinary conflicts to the Manager of Fiscal Services
• Inspects completed work to ensure conformance to our operating standards
• Schedules work depending on work priorities, staff, or equipment availability, or weather conditions
• Ensures stock (both maintenance & janitorial supplies) is ordered, received, checked in, unpacked, stocked and recorded utilizing the current CMMS program.
• Ensuring CMMS Inventory module is accurate and up-to-date with costs and accurate inventory information.
• Verify inventory computations by comparing them to physical counts of stock, and investigate discrepancies or adjust errors
• Checks out supplies to Facilities Management maintenance employees
• Coordinates uniform ordering with Business Operations Manager on an annual basis and ensures distribution of uniforms to Facilities Management team members
• Coordinates with purchasing and DFM staff  on supplies and orders
• Responsible for and participates in the Stockroom end of the year inventory each year
• Responsible for issuing and securing  DFM credit cards, logging procurement card purchases into DFM work order system, and providing backup for reconciliation of credit cards with University credit card procedures
• Responsible for filing and maintaining paperwork for all completed purchases made by DFM
• Monitors project activities to ensure that instructions are followed, deadlines are met, and schedules are maintained
• Trains employees in all tasks & equipment necessary to perform their jobs to operating standards and provides employees with assistance in performing duties as necessary to meet deadlines
• Reviews time sheets for accuracy & adherence to the DFM attendance policy
• Performs computer work such as emails, spreadsheets, word processing, internet parts research, intranet human resource functions, evaluations, memos, etc.
• Determine proper storage methods, identification, and stock location based on turnover, environmental factors, and physical capabilities of facilities
• Operates University vehicles

Secondary Duties and Responsibilities

• Directs activities of stockroom staff to receive, store, and issue supplies and equipment, keep inventory records, and provide exceptional customer service for the Department of Facilities Management stockroom
• Assists Manager with financial reporting, monitoring expenses, and auditing the staff and inventory control process
• Maintains excellent communication/customer service with Building Coordinators to ensure client satisfaction and that employees are demonstrating respect, hospitality, and quality service
• Communicates bi-laterally with other supervisors within DFM to ensure that services are provided in an efficient and timely manner and on ordering and delivery status of supplies
• Performs related duties as assigned

Job Purpose

This position is responsible for managing all phases of capital construction and renovation projects at WKU, ensuring timely completion within defined scope and budgetary constraints. The role involves coordinating with architects, engineers, contractors, code officials, and internal stakeholders to deliver projects that meet institutional standards and align with the university's strategic goals. From planning and design through code review, construction, and closeout, the position ensures projects are executed efficiently and effectively.

Additionally, this role administers and oversees all aspects of building construction and renovation, ensuring compliance with safety and quality standards while fostering collaboration with other university departments and the Commonwealth of Kentucky. Responsibilities include managing project budgets, processing contract payments, and handling change orders to ensure financial accountability and cost-effectiveness.

Essential Functions

Essential Function #1 Project Planning-(10% of time)

• Collaborate with clients and university support units to develop project scopes.
• Develop preliminary project estimates.
• Develop preliminary project schedules.
• Assist with obtaining project approvals and setup.
• Set up project files following standardized filing formats and keep them current.
• Ensure project authorizations and funding sources have been identified and approved.

Essential Function #2 Project Design (20% of time)

• Procure design services per Kentucky statutes and University policies.
• Collaborate with design consultants to develop plans and specifications.
• Lead and schedule all design meetings.
• Works with university departments such as, but not limited to: Facilities Management, Environmental Health and Safety, Parking and Transportation, IT, and others as needed.
• Working with Environmental Health and Safety to ensure project issues related to life safety, permits, and hazardous materials are addressed.
• Ensures relevant design information is placed in project files.
• Prepare plans and specifications when required.
• Ensure compliance with university policies and procedures.

Project Construction (50% of time)

• Procures construction services per KRS. Work closely with WKU Procurement to bid projects.
• Updates Status reports at least once per month.
• Reviews financial reports and resolves any outstanding issues monthly. 
• Write purchase orders and approve progress payments.
• Accompanies building officials and EHS on any site inspections. 
• Regularly visit project sites and document progress through reports and photographs.
• Inspect projects to ensure quality, adherence to plans/specifications, and safety compliance.
• Monitor project schedules and costs, maintaining adherence to budgets and integrating within a management software/university programs.
• Review schedule with contractors and university client on a regular basis.
• Review project budgets with contractors and university clients on a regular basis.
• Ensures relevant construction information is placed in the project file.

Project Closeout (5% of time)

• Ensures completion of all punch list items and final inspections.
• Ensure building commissioning and delivery of O&M manuals.
• Coordinate the turnover of completed projects to operations and maintenance teams.
• Coordinate training for clients and maintenance personnel.
• Verify receipt of all warranties, as built drawings and close out documentation.
• Conduct a one-year walkthrough with contractors, clients, and Facilities Management.
• Confirm that all invoices are paid, contracts closed, and project files updated.
• Ensure that relevant information is placed in the project file.

Communication (15% of time)

• Provide regular status updates to clients, supervisors, and stakeholders.
• Immediately report project issues to relevant parties.
• Maintain accurate records of all communications and ensure they are documented in project files.

Communication and Department Support

• Act as the primary point of contact between stakeholders, contractors, and project teams.
• Provide regular project updates and reports to leadership and stakeholders.
• Support departmental objectives by contributing to planning initiatives and process improvements.
• Represent the department in meetings, fostering collaboration across teams.

Western Kentucky University is pleased to announce we are accepting applications for the position of Senior Maintenance Technician. The person in this position oversees facilities maintenance and cleaning services for all aspects of the building and the grounds at WKU in Glasgow and WKU in Owensboro Regional Campuses. The position is based from Glasgow. Supervising a small staff of custodial and maintenance employees, the person is responsible for the maintenance and repair of HVAC, Plumbing, Carpentry, Painting, and Electrical equipment and accessories in buildings, as well as campus grounds and other duties as assigned. The position works frequently at computers and with approved WKU vendors to provide some services. This position primarily works Monday-Friday on an adjusted schedule of 6:30 am - 3 pm and reports to the Director, Regional Campuses.

Primary Duties and Responsibilities:

• Performs computer work such as e-mails, spreadsheets, word processing, and internet parts research to order supplies, check on HVAC systems, schedule employees, and complete and maintain accurate work time and materials records
• Serves as on-point and billing liaison for university-approved contractors for grounds care, snow removal, HVAC repair, plumbing, electrical, and other service technicians.
• Keeps routine of replacements and safety checks for both campuses, including checking mechanical rooms, performance, filter replacements and coil cleaning of HVAC units, eyewash/shower stations, AEDs, light bulbs, emergency lights, fire extinguishers, and exit signs
• Supervises full-time custodial staff and performs some light custodial work as a backup and supervises a part-time maintenance staff
• Repairs fixtures and maintains campus buildings, including damaged walls, occasional painting, and light carpentry work, ceiling tiles, window blinds, and tile and baseboards
• Maintains and repairs basic wiring, light machinery, and electrical circuits and replaces switch plates and ballasts
• Replaces broken plumbing fixtures and repairs valves, faucets, traps, and other sanitary fixtures
• Collaborates with other WKU departments, including serving as BEST Team Member
• Meets all safety requirements and adheres to standard safety procedures
• Be on call for response to emergency campus maintenance concerns

Primary Duties and Responsibilities

Primary Duties and Responsibilities

The Department of Theatre & Dance at Western Kentucky University (WKU) seeks applications for a part-time scene shop manager during the academic year, typically mid-August through mid-May.  Duties include supervising student workers in the Ttheatre & Dance department Scene Shop and overseeing the construction of sets in department theatre spaces. Additional duties may include assistance with load in and out of shows, ensuring all safety protocols are followed, equipment and facilities maintenance, and purchasing. 

• High School diploma or GED
• Valid driver's license
• Experience in carpentry, construction, or theatrical set construction, including familiarity with power tools.
• Ability to climb stairs, work on ladders, and carry over 40 lbs.

Hourly Rate:  $20.00
